FISCAL IMPACT: The Clerical Supervisor position will receive 80% funding from State and Federal sources. Due to the cancellation of an Account Clerk Experienced Level position and funding already allocated, the County's annual cost will be $1092. BACKGROUND: The Account Clerk Experienced Level position was vacated in January 2005. The duties of this position have been assigned to contract staff. The Clerical Supervisor position was eliminated last year due to budget constraints and a Lead Specialist assumed the supervisory responsibilities. In order to maintain service levels and provide daily supervision to the clerical staff, it is necessary to add a Clerical Supervisor position. The Clerical Supervisor will provide supervision to thirteen (13) clerical support staff consisting of one (1) Lead Specialist, four (4) Senior Clerks and nine (9) Experienced Clerks. The incumbent assigned to this position will oversee clerical processes such as: reception; mail distribution; creating, revising and ordering departmental forms; and maintenance of client files and systems security at an off site facility. In addition to day-to-day supervision, the Clerical Supervisor will also be assigned building responsibilities for 40 Douglas Drive. This includes: coordinating and processing paperwork for all building and equipment moves at 40 Douglas; processing workers compensation forms and work orders for ergonomic equipment; and regular attendance at safety meetings. CONSEQUENCE OF NEGATIVE ACTION: If the Clerical Supervisor position is not added, the Employment and Human Services Department will be unable to provide necessary direction and supervision to clerical staff.
