Gilbert, Director of General Services � ; T:;_• Contra Costa DATE: May 22, 2001 County s,^ UN SUBJECT: REQUEST TO PURCHASE VEHICLES/EQUIPMENT ON BEHALF OF THE GENERAL SERVICES DEPARTMENT GROUNDS/SPECIAL SERVICES DIVISION SPECIFIC REQUESTS OR RECOMMENDATION(S)&BACKGROUND AND JUSTIFICATION RECOMMENDATION(S): 1. APPROVE and AUTHORIZE the Fleet Manager to purchase (1) Ford 2001 F-150 Pickup on behalf of the General Services Department/Grounds Special Services Division. This is a replacement vehicle for Vehicle #5509. 2. AUTHORIZE the attached appropriation adjustment to appropriate accumulated depreciation and salvage of$13,361 and the balance from department budget of$8,596 for total purchase price of$21,957. BACKGROUND: In accordance with Administrative Bulletin No. 508: "County Vehicle and Equipment Acquisition and Replacement Policy with Guidelines," approval is requested for the purchase of the above-referenced vehicles and equipment. Based on a review of the need for the new vehicles/equipment and consideration of alternative fueled vehicles, the Fleet Manager recommends approval of this request. This request has been reviewed and approved by the County Administrator for consideration by the Board of Supervisors. A 2001 F-250 pick-up was erroneously ordered by the Purchasing Division. The Grounds Division of General Services had identified the need for a replacement vehicle in 2001/02 budget. However, monies are available in this year's budget to fund this purchase. We are, therefore, requesting approval to avoid re-stocking fees and to purchase the vehicle this year. If the Department is approved for this purchase in this fiscal year, then approximately $22,000 funding will be available on Fleet's 2001/02 Replacement Budget for another vehicle to be purchased. The Grounds Division can fund with accumulated depreciation and salvage from 3 power mowers which were replaced at a lower cost.
