Spooner , Contracts Administrator (�VJI� DATE: May 7, 1987 to coilty SUBJECT:Approval of Contract #26-124-7 with Food Dimensions , Inc . for Management and Operation of Merrithew Memorial Hospital ' s Food Services SPECIFIC REQUEST(S) Oft RECOMMCNDATION(S) & BACKGROUND AND JUSTIFICATION I . RECOMMENDED ACTION : Approve and authorize the Chair to execute on behalf of the County, Standard Contract #26-124-7 with Food Dimensions , Inc . in the amount of $1, 768 , 612 for the period June 1 , 1987 - May 31, 1990 for management and operation of Merrithew Memorial Hospital ' s Food Services . The first year ' s total payments under this three-year contract will be $544 , 799 for the period June 1 , 1987 through May 31 , 1988 . II . FINANCIAL IMPACT : Funding for the first month of this contract is included in the Department ' s FY 1986-87 Budget , and funding will be included in future fiscal year budgets . The payment limit for last year ' s Renewal Contract for this service was $518 , 000 . The first year ' s total payments under Contract 426-124-7 includes a 5% increase over the prior contract to compensate for increased costs to contractor . The second and third year contract rate will be tied to the increase in the Consumer Price Index, but is limited to an eight percent increase each year . III . REASONS FOR RECOMMENDATIONS/BACKGROUND : On March 16 , 1983 , the County entered into a contract with Food Dimensions , Inc . for the purpose of management and operation of the Hospital ' s Food Service , including the procurement of foodstuff ; the preparation and provision of meals for patients , physicians , staff , and volunteers at the hospital; and for events and functions which occur on a routine and normal basis . On May 20, 1986 , the Board approved Renewal Contract #26-124-6 which continued the contractor ' s services through May 31 , 1987 . Significant enhancements in Food Services under Food Dimension' s management include implementation of a temperature maintenance program for inpatient food delivery, expansion of the outpatient clinical dietary program, cafeteria improvements , and improved quality of catering services . Contract 426-124-7 Board Order Page 2 In addition , cafeteria operations have been expanded to include a Senior Diners Program which provides low cost , nutritious meals to those people who need. it most . Currently the Senior Diners Program has served over 2 , 000 senior residents of Contra Costa County. All of these accomplishments have been completed under a cost containment program which has resulted in consider- able savings and cost avoidance over the past four years . Contract #26-124-7 continues this service through May 31 , 1990. The contract stipulates a fixed monthly payment of $45 , 399 . 93 for the first year to insure no cost over-runs . This document has been approved by the Department ' s Contracts and Grants Administrator in accordance with the guidelines approved by the Board ' s Order of December 1 , 1981 (Guidelines for contract preparation and processing , Health Services Department) .
