SUBJECT: . AUTOMATION OF SUPERIOR COURT CALENDARING IN COUNTY CLERK'S OFFICE
SPECIFIC REQUEST(S) OR RECOMMENDATION(S) & BACKGROUND AND JUSTIFICATION
RECOMMENDATIONS:
1. Authorize the County Clerk to purchase a Calendar Management System (CMS) software
license from Automated Government systems (AGS) for use in automation of civil :Fase
processing in the Superior Court.
2. Authorize the County Clerk to purchase RCX-70 software necessary for interface with
the Law and Justice Information System for use in criminal calendaring and case
management in the Superior Court.
3. Direct the County Administrator's Office to work with the County Clerk, Law and
Justice Information Systems, and Purchasing staff to work out financing arrangements
to expedite acquisition and installation of the automated systems.
FINANCIAL IMPACT:
No additional general fund money will be required. The County Clerk has provided his
assurance that the system can be funded by non-general fund services (Clerk Record
Automation Fund) and from the existing budget allocation within the. Clerk's Office.
BACKGROUND:
The Clerk-Recorder has a Data General MV10,000 computer installed in the Election
Division. The software license from Automated Government Systems will allow the Clerk's
Office to automate civil calendaring and case management on the Data General computer.
Criminal calendaring case management in the Superior Court will be performed through the
Countywide Law and Justice Information System. With the purchase of RCX-70 software, the
Clerk will be entering criminal calendar and case information for the Superior Court on
Data General terminals acting as mainframe terminals. All data required by the Law and
Justice System will be entered. Criminal data will reside on the County mainframe for
access, as appropriate by other County justice departments, including courts.
CONSEQUENCE OF NEGATIVE ACTION: r<--
Civil automation in the Clerk's Office would not proceed. This could lead to requests for
more staff to handle increased workload. On the criminal side, there would be no
integrated Law and Justice Information System. Justice system departments would have
access to automated criminal calendar and case information only through the stage of
Municipal Court processing. All justice departments would ave to purc duplicate
set of Data General terminals to access Superior Court c d a.
