TO: .; BOARD OF SUPERVISORS Contra FROM: Internal Operations Committee Costa DATE: May 21 , 1984 County SUBJECT: TELEVENTS SPECIFIC REQUEST(S) OR RECOMMENDATION(S) & BACKGROUND AND JUSTIFICATION RECOMMENDATION: Acknowledge receipt of report from Internal Operations Committee and leave item on referral pending future report from the Committee. BACKGROUND: On April 17, 1984, the Board authorized our Committee to meet with representatives of Televents on May 21 , 1984 in an effort to update the Board on the current status of previously identified problems with the telephone service at Televents and the status of the rebuilding of the Televents system. Our Committee met with Brian Coyne, Regional Manager for Televents, members of his staff, and Sara Hoffman from Public Works, on May 21 , 1984. Mr. Coyne briefed our Committee on his plans to reconnect the entire Televents system in an effort to insure that all subscribers .see the same programs on the same channels in all parts of the Televents system. The rebuilding is scheduled to be completed in October, 1984. Delays have been experienced in improving the telephone service because the computer software that was being acquired by Televents didn't work as it .was intended to. Televents is attempting to determine what the problem is with the software and when it can be corrected. He hopes to be able to tell the county within a month what the problems are and when he hopes to have the problems with the software corrected. This is essential in order to be able to mail out bills on a. staggered schedule throughout the month, thereby reducing the influx of telephone calls which the company inevitably receives when the bills are mailed. Currently, all bills are mailed at the same time. Televents has added. fourteen (14) phone lines and now has sixteen (16) customer service representatives. This number is being expanded to nineteen (19). For the information of Board members, arrangements have been made to forward complaint calls which Board members may receive to Sara Hoffman at 372-2628. Ms. Hoffman will then contact Mr. Coyne's secretary, who will see that the complaint goes to the most appropriate Televents employee. When the complaint has been resolved, Mr. Coyne's secretary will advise Ms. Hoffman who, in turn, will check with the person who filed the complaint to insure their problem has been resolved and will also notify the Board members' offices that the complaint has been resolved. This system seems to be working well with Supervisor Fanden's office and is available immediately to any other Board Member whose constituents are having problems with Televents.
