Assistant County Administrator- COSTA I Director of Human Resources _�,;_ r COUNTY DATE: December 12. 2006 SUBJECT: P300 #20181 C I SPECIFIC REQUEST(S)OR RECOMMENDATION(S)&BACKGROUND AND JUSTIFICATION RECOMMENDATION: j Adopt Position Adjustment Resolution Number 20181 to ESTABLISH the classification series of Administrative Assistant I -ECCFPD (Represented) and Administrative Assistant II -ECCFPD (Represented), ADD one full-time Administrative Assistant I —ECCFPD position(Represented), CANCEL one Secretary-ECCFPD position (Represented). RECLASSIFY one Secretary — ECCFPD position # 5974 and the incumbent to Administrative Assistant II — ECCFPD(Represented), and i ABANDON the classification of Secretary — ECCFPD(Represented). FISCAL IMPACT: There is a cost savings associated with this action. BACKGROUND: At the request of the department, staff conducted a job audit on the clerical positions at East Contra Costa Fire District and found that their current classifications are not reflective of their duties. A new classification of Administrative Assistant would better reflect the duties and responsibilities necessary I to perform their daily office/clerical tasks. This new series recognizes the specialized job duties concerning the clerical needs of East Contra Costa Fire Protection District. i This class series is being established at this time because a position has been vacated and the i Department intends to fill the position using the corrected classification. i Duties for the Administrative Assistant I — ECCFPD would include operating computer equipment and software to input and maintain data and information into various database programs, prepares, processes, maintains and checks payroll, answers payroll questions relative to employee benefits and payroll deduction, prepares. distributes and maintains recruitment data and correspondence, and I answers and routes incoming phone calls and takes and relays messages. Duties for the Administrative Assistant II — ECCFPD would include the previously stated duties as well as assisting I Chief Officers in special projects and providing lead direction to the Administrative Assistant I — i ECCFPD. CONSEQUENCE OF NEGATIVE ACTION: Failure to establish the Administrative Assistant Series will result in a decrease of efficiency I concerning the daily clerical work of ECCFPD.
