I personally repair these items when possible. ' When I can't make repairs myself,. I initiate calls to maintenance vendors or to personnel of the Building Maintenance Section of the Public Works' Department to assure that the equipment and furniture are placed in safe working order. I advise outside maintenance technicians of problems occurring with various machines and follow-up to assure that periodic maintenance is made in accordance with purchase contracts. I initiate .calls to Building Maintenance Section of the Public Works Department to request repairs as needed to the building. These requests include repairs that could be hazardous to employees if left unattended. The types of machines that I service and maintain include the IBM, Xerox and Sharp copiers and the Bruning blueprint machine. Total machines involved are six (there are 3 Sharp copiers in the Assessor's office). These machines are used for various purposes, including map updates for over 58 agencies, all deed copying, appraisal record copying and copying various other documents for use by the Assessor's staff and for sale to the general public. Prolonged downtime on any one of these machines could seriously hamper the Assessor's function to serve the public and to complete the annual assessment roll . It is my responsibility to see that this does not happen by making repairs or calls for assistance to assure that the machines are maintained in good working order. 1% MAP PRINTING I print copies of all update maps for. cities, title companies, fire districts, sanitation districts, and various other agencies, and maintain a system to assure that all requests from these agencies are met'in accordance with Departmental policy. I report total copies made (on a quarterly basis) to the Assistant Assessor, Administration, so that proper billing for services performed can be made to these agencies. 5% INVENTORY AND ORDER VARIOUS SUPPLIES, FURNITURE AND EQUIPMENT I am responsible for maintaining and ordering supplies for all copy machines in the Assessor's office. This includes toner and various sizes of xero- graphic copier paper, including special 11X17". copier paper used for print- ing t,4e As-pessor's update maps for all 58 agencies-,, as well as special map orders"for the general public. I am responsible for inventorying and initiating orders for various sizes of computer printout paper used for the Assessor's on-line computer system, including the Information Center. I work closely with the Assistant Assessor, Administration in initiating orders for other supplies, furniture and office equipment. I frequently verify receipt of these supplies, furniture and equipment. I sign for their receipt so that the Assistant Assessor, Administration can properly authorize payment for them. Cont'd. . . . On a scheduled and non-scheduled basis I travel to offices of various cities to obtain documents and packages concerning the operations of various divisions within the Assessor' s office. This county-wide travel , in general , is essential for the timely processing of documents to assure completion of the annual assessment roll . 1% ANNUAL ASSESSMENT NOTIFICATION PROGRAM Annually, I act in 'an official capacity to assure that value notices are delivered to the Post Office in compliance with Assessor' s policy. The purpose of this procedure is to assure to the Assessment Appeals Board that proper delivery of these notices has �been made to county property owners. phis is vital to the assessment appeals process when property owners try to convince the Board that they have never received a notice of their change in assessed value, as required by law. This is done in.conjunction with responsible appraiser assigned to this project. We take delivery of the notice cards from Data Processing and deliver them to Central Services for metering and then further delivery to the Post Office. 3% ANNUAL INVENTORY OF EQUIPMENT I personally inventory all equipment within the Assessor's office on an annual basis as required by government code. I submit this inventory to the Assistant Assessor, Administration for his review. The Assistant Assessor and I follow-up and re-inventory some items when problems occur (missing items, etc. ) . A copy of this inventory is certified by the Assessor and filed with the Auditor-Controller. 6% OTHER 1. I make various oversized prints on a large blueprint machine located in the Assessor's machine room. 2. I maintain various storage areas in an organized manner that permits ready access and quick retrieval of documents as required by Assessor's staff. 3. I deliver county warrants to the Martinez and Concord Post Offices for the deposit of funds so that the Department's mailing permits retain an active status and to assure that adequate amounts are available to cover all postage. These warrants sometimes amount to as much as $10,000. AK 75
