HomeMy WebLinkAboutMINUTES - 06042013 - C.93RECOMMENDATION(S): Approve and authorize the Purchasing Agent, on behalf of the Health Services Director, to execute a Purchase Order with NTT Data, Inc., in an amount not to exceed $265,375 for the renewal of software maintenance for the Patient Accounting, Medical Records and Finance units of the Health Services Department, for the period from July 1, 2013 through March 31, 2014. FISCAL IMPACT: 100% Enterprise Fund I. BACKGROUND: NTT Data, Inc. (formerly Keane) is an integrated mission critical financial and patient information system that is primarily used by staff from the Contra Costa Regional Medical Center and Health Centers, Patient Accounting, and Finance Departments at Contra Costa Health Services (CCHS). The System was originally installed over twenty years ago, and has been routinely upgraded to meet the changing needs of Health Services. ccLink (Epic) replaced Keane as the business system on July 1, 2012. However, patient accounts in Keane still need to be worked for accounts receivable billing, payment receipts, adjustments/write-offs, bad debts and collections. Medical Records uses Keane to research duplicate patients that are in ccLink. Keane data for multiple fiscal years is needed for future financial reporting and data audits. Keane will be turned off on March 31, 2014. CONSEQUENCE OF NEGATIVE ACTION: If this Purchase Order is not approved, necessary functions such as billing and payment posting may be delayed, and data integrity issues, including the possible loss of critical achieved data, could occur, thereby resulting in a potential loss of revenue due to the inability to generate billings or respond to audit requests.
