APPROVE and AUTHORIZE the Purchasing Agent, or designee, to execute on behalf of the Chief Information
Officer, a purchase order with Ricoh Business Solutions for the purchase of a Ricoh Pro 1357 mainframe printer.
APPROVE and AUTHORIZE the Purchasing Agent, or designee, to Execute a third party lease agreement with IBM
Global Finance, for the period of December 1, 2012 through November 31, 2017, in an amount not to exceed
$167,000 as recommended by the Public Works Director.
FISCAL IMPACT:
The estimated cost of $166,145 will be paid from Lease Purchase funds. The Purchasing Division has arranged a
lease purchase contract with IBM Global Finance. The principal and interest for the first two semi-annual payments
have been budgeted under Org #1060 FY 2012/13. DoIT will continue to budget these payments each fiscal year,
until payment is made in full. The cost is charged back to user departments through DoIT's billing process. (100%
User Fees).

BACKGROUND: (CONT'D)
the existing Heidelberg mainframe printers. One was replaced last year; this is the second and final printer to be
replaced. The Ricoh Pro 1357 Printer provides a redundant, high speed printing environment with the smallest
physical space requirements available. This particular model will also allow DoIT's Operations department to migrate
away from the Data Exceed application which is no longer supported. The purchase will include a one-year
maintenance warranty (with option to renew) and installation of the printer into the mainframe environment.
The Purchasing Division has arranged the financing of the printers through IBM Global Finance. The lease will be
for 5 years, with 10 semi-annual payments of approximately $16,614. The total financed is $157,245. The interest
rate is 2.49%. Total payments are not to exceed $166,145.
CONSEQUENCE OF NEGATIVE ACTION:
The Heidelberg printers were purchased "used" in 2003. The estimated age of the printers is 15 years and well past
their useful life. The Heidelberg printer which is currently in use is in imminent danger of failure. Not approving the
purchase will create a hardship for the department and negatively impact the department's ability to deliver services.
