HomeMy WebLinkAboutMINUTES - 09112012 - C.70RECOMMENDATION(S): APPROVE and AUTHORIZE the Purchasing Agent, or designee, to execute a purchase order amendment with ADI to increase the payment limit by $200,000, to a new payment limit of $600,000, for electronic system parts and equipment, and to extend the purchase order term from September 01, 2010 through August 31, 2013. (Public Works Facilities Maintenance budget). FISCAL IMPACT: This cost is to be funded through FY 12/13 Facilities Maintenance budget (100% general fund). BACKGROUND: In July 2010 General Services Department conducted a BidSync bid soliciting a vendor for low voltage building parts and systems. These parts are typically used in burglar and fire alarm, video surveillance, and access control systems. Posted as BidSync Bid #1007-005, ADI was awarded a purchase order to supply Facilities Maintenance with these items. The original request was for two (2) years with three (3) possible one year extensions. Systems upgrade and installation projects for several departments and outside agencies, including the East Bay Parks District, require the use of parts at a faster rate than expected. The original request to exceed $100,000 was item C.118 on the March 15, 2011 agenda. CONSEQUENCE OF NEGATIVE ACTION: If this agreement is not approved, then purchasing Low Voltage electrical parts from ADI will discontinue. CHILDREN'S IMPACT STATEMENT: Not applicable.
