APPROVE and AUTHORIZE the County Librarian, or designee, to execute a contract with 3M Library Systems in
an amount not to exceed $155,745 for service and maintenance of SelfCheck machines, security gates, RFID
workstations, RFID Digital Library Assistant and staff check-in machines for the period July 1, 2012 through June
30, 2013.
FISCAL IMPACT:
The cost of $155,745 is budgeted for FY 2012-13.
BACKGROUND:
3M equipment is used throughout the library’s 26 locations. The service agreement covers 120 pieces of equipment
plus the software. The service agreement covers labor, parts and equipment modifications. Service can be requested
via an 800 number 24 hours 7 days a week. The equipment under the service agreement is used for book/media
security equipment, inventory

BACKGROUND: (CONT'D)
equipment, and customer self service equipment. All 3 types of equipment are very important to the functions of the
library. The security equipment protects books and media from theft. The inventory equipment helps find books on
shelf. Customer self service equipment is part of the library’s strategic plan to have 80 percent customer self service.
The Library has been using a 3M service agreement since purchasing the equipment. Staff is familiar with the
process of contacting 3M for service.
In accordance with Administrative Bulletin No 611.0, County Departments are required to get Board approval for a
professional service contract over $100,000. The County Administrator’s Office has reviewed this request and
recommends approval.
CONSEQUENCE OF NEGATIVE ACTION:
Equipment will not be covered under a maintenance agreement.
