HomeMy WebLinkAboutMINUTES - 07262011 - C.46RECOMMENDATION(S): APPROVE and AUTHORIZE the Clerk-Recorder, or designee, to execute a contract amendment with Atpac Inc., effective June 30, 2011, to increase the payment limit by $511,066 to a new payment limit of $1,144,142 to continue providing certified copies of our records, issuing marriage licenses, imaging and indexing records for permanent preservation/archiving, maintaining multiple database systems for back-up and several other vital functions the division provides to the public, with no change in the original term. FISCAL IMPACT: There is no fiscal impact on the County General Fund for this contract extension. The original contract and this extension are funded by dedicated Modernization Trust Fund monies (2451). The original contract contained provisions for two 2-year extensions. We would like to execute the first extension at this time. The cost of this contract extension will increase the contract payment limit by $511,066 from $633,076 to $1,144,142. These automated systems allow the division to provide the core functions of recording documents, providing certified copies of our records, issuing marriage licenses, imaging and indexing records for permanent preservation/archive, maintaining multiple database systems for redundancy and back-up and several other vital functions the division provides to the public. CONSEQUENCE OF NEGATIVE ACTION: Failure to extend our contract with Atpac would leave the division without the software and technology systems to perform our primary functions to the public and our service agencies. CHILDREN'S IMPACT STATEMENT: Not applicable.
