HomeMy WebLinkAboutMINUTES - 05032011 - C.87RECOMMENDATION(S): APPROVE and AUTHORIZE the Purchasing Agent to execute a purchase order, on behalf of the County Librarian, with 3M, Inc. in an amount not to exceed $148,290 to purchase self-check machines, security gates, RFID workstations, RFID Digital Library Assistants, and staff check-in machines. FISCAL IMPACT: The cost of $148,290 is in the FY 2011/12 Library budget. BACKGROUND: 3M equipment is used throughout the Library's 26 locations. The service agreement covers 113 pieces of equipment plus the software. Service agreements cover labor, parts, and equipment modifications. Service is requested via an 800 number 24 hours, 7 days a week. Equipment is used for book/media security, inventory, and customer self-service. All 3 types of equipment are important to the functions of the Library. Customer self-service equipment is part of the Library's strategic plan to offer 80 percent customer self service. The Library has always used a 3M service agreement; staff is familiar with the process of contacting 3M for service and this allows for uniform service throughout the County. In accordance with Administrative Bulletin No 611.0, County Departments are required to obtain Board approval for single item purchases over $100,000. The County Administrator's Office has reviewed this request and recommends approval. CONSEQUENCE OF NEGATIVE ACTION: The Library will not be able to service and maintain its equipment. CHILDREN'S IMPACT STATEMENT: Not applicable.
