HomeMy WebLinkAboutMINUTES - 07132010 - C.126RECOMMENDATION(S): APPROVE and AUTHORIZE the Purchasing Agent to execute a purchase order with 3M Inc., on behalf of the Librarian, in the amount of $112,620 to purchase a service agreement for SelfCheck machines, security gates, RFID workstations, RFID Digital Library Assistant and staff check-in machines for the period July 1, 2010 through June 30, 2011. FISCAL IMPACT: The cost of $112,620 is included in the Library's 2010-11 budget. BACKGROUND: 3M equipment is used throughout the library’s 25 locations. The service agreement covers 89 pieces of equipment plus the software. The service agreement covers labor, parts and equipment modifications. Service can be requested via an 800 number 24 hours 7 days a week. The equipment under the service agreement is used for book/media security equipment, inventory equipment, and customer self-service equipment. All 3 types of equipment are very important to the functions of the library. The security equipment protects books and media from theft. Customer self-service equipment is part of the library’s strategic plan to have 80 percent customer self service. The Library has been using a 3M service agreement since purchasing the equipment. Staff is familiar with the process of contacting 3M for service. In accordance with Administrative Bulletin No 611.0, County Departments are required to get Board approval for single item purchases over $100,000. The County Administrator’s Office has reviewed this request and recommends approval.
