APPROVE and AUTHORIZE the Purchasing Agent to execute a purchase order with
MaintStar Inc., on behalf of the Public Works Department, in the amount of $126,500 to
purchase two additional software modules and implementation services, to track work and
record inspections.
FISCAL IMPACT:
The cost of $126,500 is budgeted for 2010/2011 using 50% Road and 50% Flood Control
Funds.
BACKGROUND:
The Public Works Department has been using the MaintStar maintenance management
system since 2003 to develop annual plans used by field staff for maintenance of roadway,
drainage, and flood control facilities, record work quantities and expenses, and record
responses to customer complaints. The Streets/Transportation and Storm Water
Management modules will make it possible to inventory our road and drainage facilities,
track work performed to these assets, record inspections, and integrate with Geographical
Information System (GIS) so the data collected can be viewed

In accordance with Administrative Bulletin No. 611.0, County Departments are required
to get Board approval for single item purchases over $100,000. The County
Administrator’s Office and Department of Information Technology has reviewed this
request and recommends approval.
CONSEQUENCE OF NEGATIVE ACTION:
Opportunities to track work and record inspection of road and drainage assets in one
centralized system will not be possible.
