APPROVE and AUTHORIZE the Purchasing Agent, or designee, to execute, on behalf of
the Sheriff-Coroner, a purchase order with Ikon Business Systems Services in an amount not
to exceed $176,175 for document imaging software and conversion services.
FISCAL IMPACT:
$176,175, 100% General Fund; Budgeted.
BACKGROUND:
The Records Division of the Office of the Sheriff is currently storing approximately
twenty-seven hundred (2700) boxes of documents throughout the County. The Ikon Disc
Image software and document conversion will eliminate this backlog of aged documents
and convert them to indexed digital files. This product will allow staff to capture, store,
manage and view documentation quickly and efficiently, while conversion to digital format
will eliminate document deterioration. In addition, this product will expedite the response
time for Public Records Act requests and document requests by subpoena.
