Approve and authorize the Health Services Director, or his designee, to execute, on behalf
of the County, Contract Amendment Agreement #26-539-1 with RecordXpress of
California, LLC, a limited liability company, effective August 1, 2009, to amend Contract
#26-539, to increase the payment limit by $1,780,000, from $1,125,000 to a new payment
limit of $2,905,000 and to extend the term from July 31, 2010 through July 31, 2013.
FISCAL IMPACT:
This Contract is funded 100% by Enterprise Fund I.
BACKGROUND:
On August 16, 2005, the Board of Supervisors approved Contract #26-539 with
RecordXpress of California, LLC, for the period from August 1, 2005 through July 31,
2010, to provide off-site storage of records, including 24 hours per day/ 7 days per week
pick-up and retrieval services, management of the process of storage, retrieval, and re-file of
all hard-copy and radiological records, as well as secured destruction of records held in

other designated Health Services Department Divisions.
At the time of negotiations in 2005, the Payment Limit was based on target levels of
utilization however due to additional utilization, the Contract Payment Limit has now been
exhausted. This Amendment has been negotiated to extend the services for an additional
three (3) years, establish favorable service charges effective August 1, 2009 with no further
rate increases and increase the Contract Payment Limit to cover charges through July 2013.
Approval of Contract Amendment Agreement #26-539-1 will allow the Contractor to
provide additional record storage for the Health Services Department, through July 31, 2013.
