Count DATE: July 26, 1995 '�'.__ �*° y a`cou�r SUBJECT: Agreements for Data Entry Services SPECIFIC REQUEST(S)OR RECOMMENDATION(S)&BACKGROUND AND JUSTIFICATION I. RECOMMENDED ACTION: Approve and authorize the Chair of the Board of Supervisors to execute an agreement amendment with Data Entry Services, Inc. increasing their payment limit from $231,000 to $285,000. II. FINANCIAL IMPACT: This action if approved will not result in any increased cost to Data Processing Services. III. REASON FOR RECOMMENDATION AND BACKGROUND: Data Processing Services formerly had a large data entry section that provided data entry services for most County departments. Over the last 10 years our data entry activities have decreased because of the installation of online interactive systems in most departments, making it possible for departments to perform most of their own data entry. Data Processing Services has reached a point where it is no longer cost effective to maintain our inhouse data entry section. We have been using data entry service bureaus for years to assist with peak workloads and have found them to be very cost effective and efficient. IV. County and Contractor agree,therefore, to amend the Contract identified herein as set forth below while all others parts of the Contract remain unchanged and in full force and effect. 1. Increase payment limit from$231,000 to$285,000. 2. Entend expiration date to June 30, 1996. 3. The terms and conditions for Data Entry Services section of Attachment#1 "Termination clause"reads, "The County reserves the right to cancel the contract upon thirty(30)days written notice". This clause is amended to read, "The County reserves the right to cancel all the contracted worm upon thirty(30)days written notice or any portion(s)of the contracted work immediately upon written notice. 4. Per the terms and conditions of this agreement a 2.4%CPI adjustment is granted for all rates effective 9/1/95. 5. For all jobs that do not meet the error rate as specified in this agreement the county reserves the right to make no payment for that job. Initials: Contractor County Dept.
