SUBJECT: APPROVING EXTRA WORK UNDER CONSULTING SERVICES
AGREEMENT WITH THE BUILDING DESIGN GROUP (NOW KNOWN AS VAN
HULLS ASSOCIATES) , FOR ALTERATIONS AT 255 GLACIER DRIVE,
MARTINEZ (4425-4241 : 0928-WH241B. FORMERLY WPE423)
SPECIFIC REQUEST(S) OR RECOMMENDATION(S) & BACKGROUND AND JUSTIFICATION
I. RECOMMENDATION
APPROVE and AUTHORIZE the General Services Director to issue
the second written authorization for Extra Work under the
Consulting Services Agreement with the Building Design Group
(now known as Van Hulle Associates) . The original agreement
is for architectural services for Alterations at 255 Glacier
Drive Martinez, for the Public Works Department. The Extra
Work involved includes planning and electrical coordination
of new landscape partition systems and preparation of design
and construction documents for an outdoor patio adjacent to
the staff lunch room.
II. FINANCIAL IMPACT
Cost of the Extra Work will not exceed $5,000. 00. It will
raise the Payment Limit, as modified by the first Extra Work
authorization issued by the General Services Director, from
$25, 000. 00 to $30,000. 00.
III. REASONS FOR RECOMIICENDATIONS/BACKGROUND
A. The original consulting services agreement and the first
Extra Work authorization were signed by the Purchasing
Agent, since the Payment Limit was within the $25,000. 00
limit specified in County Ordinance Code Section
1108-2 . 214. Since this Extra Work authorization will
cause the Payment Limit to exceed $25,000. 00, the Board
is requested to approve and authorize the General
Services .Director to issue this written authorization .for
Extra Work to the Consultant.

B. The planning and coordination services involved are
required because the Public Works Department has ordered
landscape partitions and components for installation in
the Flood Control Building and the Annex Building. The
landscape partition order, however, did not include
relocation of existing light fixtures as necessary to
avoid conflict with the partition power poles, nor did it
include the electrical work necessary to provide circuits
and hard wiring connections for the partitions.
Consequently, the Consultant needs to study the Public
Works landscape partition order and provide services
required to complete the partition installation.
C. The Architectural services for an outdoor patio are
required to satisfy a request by the Public Works
Department to supplement the small staff lunch room with
an outdoor staff area.
